Finger Print Time & Attendance System

 

BioAXS offers three different types of Basic Stand Alone Attendance:

 

1.       PC Based Attendance for offices with less than 100 users

2.       PC Based Attendance for offices with as much as 30,000 Users

3.          Embedded Controller Based Attendance

 

1.    PC Based Attendance for offices with less than 100 users

 

This solution uses Digital Persona SDK and is focused on small and medium businesses. Only Digital Persona sensors (URU 4000 B Readers) will work with this solution.

 

2.    PC Based Attendance for offices with as much as 30,000 Users

 

This solution uses Neurotechnologija’s Verifinger SDK and guarantees a Verification speed as less than One (1) second even for a number of 30,000 Finger Prints stored in the Database.

What is Time & Attendance System?

Time & Attendance System, using Biometrics Technology, reduces the amount of time needed to prepare time sheets for payroll, improves workforce management, minimizes errors, and helps track and manage labor expenses.

Running BioAXS Time & Attendance System

This Application consists of two parts:

  • Administration
  • Verification

Administration

In order to run the administration part of the application, you will have to keep the verification part running. Just minimize it and double click the BioAXS Time & Attendance System Icon  generated automatically on the desktop or Press Start à Programs à BioAXS Time & Attendance System à Time & Attendance System.exe.

This will take you to the Log In page of the Administration part of the application as follows:

LOGIN INFORMATION

Enter the User Name: admin and Password: admin and press OK button to log into the system.

If the information entered is incorrect the system will display the following message:

Username:   admin           
Password:   admin

Press OK button and enter the information again.

If any of the field is missing, a message like the following one is displayed:

The successful verification of username and password takes the user to the following screen which contains the following four Sections:

  • Application
  • Admin
  • Reports

APPLICATION ADMIN SECTION

This section contains the following options:

Manage Employee’s Registration Section—allow the employee’s Management.
Manage Employee’s Attendance Section—allow the employee’s Attendance.
Mark Finger Print Attendance Section—allows employee’s Mark their attendance.
Logout—allows the user to logout of the Administration Window
Exit—allows the user to exit the system

MANAGE EMPLOYEE’S REGISTRATION SECTION

This section contains the following options:
Company Info—allows the user to manage the information regarding his Company
Department(s)—allows the user to mange the departments
Employees(s)—allows the user to manage the information about employees

COMPANY INFORMATION

Clicking the icon of Company Info  will take you to the Company Information page where you can enter:

  • Company Name
  • Address
  • Telephone Number
  • Fax
  • Country
  • Province/State
  • City

This page also contains Reason Section where the reasons may be defined and Added/Updated/Deleted, which are to be used by the user while marking attendance.

Type the reason in the Text Box and press Add button. It will be displayed in the List Box below as under:

Note that all the fields are required except Country, State/Province and City. Clicking the Close button without saving the data will lose the information. Therefore save the entered data by clicking the Save button. When user clicks the Save button, the following confirmation message appears:

Now press Yes button to save the data or No to discard. Saving the data will take you to the Main Window.

Department Information

Click the Department(s) Icon.  The following page will be displayed:

Here you can:

  • Add new departments
  • Update already added department(s)
  • Delete already added department(s)
  • Import data from any other location.

After entering the data press Save button to save the information or close to return to the Main Window without saving.

Employee Information

Click the Employee(s) Icon. This will take you to the Employee List page where you can:

  • View the list of employees already registered
  • Add new employees by clicking the Add button
  • Update the information regarding an employee by selecting the employee and pressing the Update button
  • Delete an employee after selecting that employee and pressing the Delete button
  • Save the information by clicking the Save button -OR-
  • Close the window and return to main window by clicking the Close button
  • Import an employee’s bio data from some other file by clicking the Import button and selecting the desired file

Adding an Employee

Press the Add button. The Employee Information window will be opened as follows:

Here you can enter:

  • Employee Code
  • First Name
  • Last Name
  • Address
  • Telephone
  • Department

After entering the data, you can add picture of the employee either by selecting Browse option
for the image file already saved or directly by selecting Capture option using Web Cam and
pressing Go button.
Now select any of the fingers and press Register Finger Print button to scan that finger. Now you
can save the data by pressing the Save button. This will display the following message:

On pressing No button, the data will not be saved while pressing Yes button will save the data
Note that while scanning you will have to place finger 4 times for every finger. The Progress Bar
will show the progress of scanning process as follows:

Select any finger for registration,

1st Touch

2nd Touch

3rd Touch

4th Touch

In this way all the fingers of both the hands can be scanned. But every time you select a finger for scanning, Register button will have to be pressed. Only then scanning will start.

Now you can save the data by pressing the Save button. This will display the following message:

On pressing No button, the data will not be saved while pressing Yes button will save the data and the following message will be displayed:

On pressing No button, the system will return to the Employee List window while pressing Yes button will allow you to add another employee.

If any of the field is not filled, a message like the following will be displayed:

If the employee being registered is given the same Employee Code which already exists, the following message on pressing the Save button will appear:

Updating an Employee

In order to update the information regarding some specific employee, perform the following tasks:

  • Select Department
  • Select an Employee
  • Press Update button

It will take you to the Employee Information page where you can make necessary changes and save the information as done while adding an employee.

Press Save button to return to the main window.

Deleting an Employee

In order to delete the information regarding some specific employee, perform the following tasks:

  • Select Department
  • Select an Employee
  • Press Delete button

The following message will be displayed:


Pressing Yes button will delete the employee while pressing No button will avoid deletion.

Now press Close button to return to the main window.

Verification

Double click the Time & Attendance System Icon  generated automatically on the desktop or Press Start à Programs à Time & Attendance System à Time & Attendance System.exe.


User Name:    verify
Password:      verify

Give Login Information, User: verify and Password: verify this will open the Verification part of
the Application. This allows the user to mark attendance and view the results as follows:

This page contains three buttons:

  • Reset   (Used to clear all the values from the screen)
  • Close   (Used to close the screen)

Working

Place your finger on the sensor attached. If someone is Registered, the displays like following will be seen:

When someone places his/her finger on the sensor more than once within 3 minutes of marking attendance, the following message is displayed:

When some one marks attendance after at least three minutes, the following screen displays:

Pressing the Reset button will clear the values:

If someone is Not Registered or places the finger incorrectly the following display can be seen:

Attendance List

Click the Attendance(s) Icon. This will take you to the Attendance List page where you can:

  • View the list of attendance(s) of all the employees or some specific employee for a specific period
  • Add an attendance manually which could not be marked by using Sensor due to some reason
  • Update the attendance of an employee

Viewing the List of Attendance(s)

In order to view the list of attendances made by some specific employee, perform the following actions:

  • Select a department
  • Select an employee
  • Select the start date
  • Select the end date

All the attendances marked in the selected period will be displayed

Adding an Attendance Manually

In order to add an attendance manually which could not be marked due to some reason perform the following actions:

Press the Add button. Attendance Information window will be opened


  • Select a department
  • Select an employee
  • Select the Time In
  • Select the Time Out
  • Select the Reason to mark Manual Attendance
  • Press the Save button to save the changes made

Pressing the Save button will display a confirmation message as follows:



Pressing Yes will save the data and return to the Attendance List page while pressing No will discard changes. After the new attendance has been marked, it will be displayed in the Attendance List.

Error

If any of the values (date or time or both) in the IN TIME section is greater than those in OUT TIME, the following message will be displayed:

Updating the Attendance

In order to make some changes in the attendance, press Update button located next to the Add button in the bottom of the Attendance List page. The Attendance Information page will be opened where you can make necessary changes and save the data.

Now press Close button to return to main window.

Reports Section

This section contains the following options:

  • Employee List
  • Allows the user to view the list of employees
  • Employee Access Log
  • Allows the user to view the report showing the number of attempts made by the user to access the system
  • Daily In Out
  • Allows the user to view report showing the time of First In and Last Out
  • Early Leavers
  • This report shows the user the employee(s) who leaves before their specified out Time
  • Late Arrivals
  • This report shows the user the employee(s) who arrives in office after their specified in Time
  • Early Arrivals
  • This report shows user the employee(s) who arrive in the office before their specified in Time
  • Late Leavers

This reports shows user the employee(s) who leaves the office after their specified out Time

Report Parameter Dialog:

Select:

  • Department
  • Employee
  • From Date
  • To Date

Press Show button, you will see the desired report.

Note: This report parameter dialog will be shown in all reports except Employee List Report

Employee List Report:

In order to view the list of registered employees, press the Employee List icon  in the Report Section of the main window. The Employee List Report will be displayed as follows:

Employee Access Log Report

Press the Employee Access Log icon  from the Reports Section of the main window.  The following window will be opened:

Press the Daily In Out icon  from the Reports Section of the main window.  The following window will be opened:

3.    Embedded Controller Based Attendance

 

This solution is based on Digital Persona’s embedded Device V1003. It’s suitable for all sorts of businesses. Each Device works as an intelligent device and can store, process data on its own.

 

BioAXS provides a software solution to process IN / OUT times from this device in form of Reports acceptable and usable by any organization as per their needs.

 

BioAXS software can also be used to register employees using a normal Digital Persona URU 4000 B reader and upload data to the Embedded Device.

Software Features:

 

1.       Solution requires a customer provided, our recommended, computer connected to Ethernet Device (Embedded Microcontroller) via LAN

2.       Software provides easy interfaces to communicate with the Ethernet Device to upload / download data

4.       Number of Authentications – Number of authentications allowed per licensed installation depends on the hardware capacity but BioAXS Software allows companies to download all the data to a Networked PC.

5.       Logins – Administrator for full access. Access can be on Username/Password or on Finger Prints or without any authentication

8.       Employee Creation – Data entry of employee through manual process – Inputs are restricted to Name, Employee ID and  Department

11.    Manual input of attendance – Entering manual attendance of both incoming and outgoing time
